This Privacy Policy explains how Creative Business Solutions (CBS) collects, uses and protects information you provide through the HearLink marketing website (www.hearlink.co.uk). CBS is the data controller for this website.
It covers only this public website. The HearLink CRM - the clinic platform used by our customers - is a separate application with its own privacy terms; any patient or clinical information held there is governed by the agreement between HearLink and the clinic that uses it, not by this policy.
Information we collect
We only collect the limited information needed to run this site and respond to you.
a. Information you give us
- Demo bookings - when you book a demo, we collect your name, email address, phone number and any details you add to the booking.
- Enquiries - if you email or call us, we hold the contact details and message you choose to share.
b. Information collected automatically
- Basic usage data such as pages viewed, links and buttons clicked, and approximate location, plus your device and browser type - collected through privacy-conscious analytics (see “Analytics and cookies” below).
We do not collect special-category or medical data through this website, and we do not knowingly collect information from children.
How we use your information
We use the information above to:
- Arrange, confirm and follow up on demo bookings you request;
- Respond to your enquiries and provide the information you ask for;
- Understand how the site is used, in aggregate, so we can improve it;
- Maintain the security of the site and comply with our legal obligations.
Under UK GDPR, our lawful bases are your consent, our legitimate interests in operating and improving the site, and taking steps at your request before entering into a contract (for example, arranging a demo).
Analytics and cookies
This website uses PostHog for privacy-conscious product analytics, to understand how visitors use the site - for example which pages and links are used.
- It is configured cookieless - no analytics cookies are stored on your device.
- Session recording is disabled, and we do not use advertising or cross-site tracking.
- Analytics data is processed on PostHog’s EU infrastructure.
Because our analytics are cookieless and we set no marketing cookies, this site does not need a cookie consent banner. You can also send a “Do Not Track” signal or block scripts in your browser settings.
Who we share your information with
We do not sell your information. We share it only with trusted service providers that help us run this site:
- Calendly - powers our demo scheduling; the details you submit to book a demo are processed by Calendly to create your appointment.
- PostHog - provides the cookieless analytics described above.
- Google Cloud - hosts this website and its booking function.
- Legal compliance - we may disclose information where required by law, legal process or a valid government request.
International data transfers
Some of our providers process data outside the UK (for example, Calendly is based in the United States). Where information is transferred internationally, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.
Data retention
We keep booking and enquiry details only for as long as necessary to deal with your request and for a reasonable period afterwards, or as required by law, and then delete them securely. Analytics data is retained in aggregate to help us understand long-term trends.
Data security
Information submitted through this site is transmitted over encrypted (HTTPS) connections and held on reputable, secured cloud infrastructure. While we take reasonable steps to protect your information, no method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
Under UK data protection law you have the right to:
- Access - request a copy of the personal data we hold about you;
- Correction - ask us to correct inaccurate information;
- Deletion - ask us to delete your data, subject to legal obligations;
- Objection & restriction - object to, or ask us to restrict, certain processing;
- Withdraw consent - where we rely on your consent, withdraw it at any time.
To exercise any of these rights, contact us using the details below. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
Third-party links
This site may link to third-party websites or services. CBS is not responsible for the privacy practices of those external sites - we recommend reviewing their privacy policies before providing any personal information.
